Scrubbing old data

    Hi Eric!

While deleted tickets can't be modified, they can be deleted. So no worried there. What you would need to do in order to bulk delete these old tickets would be to create a View for them, and delete from there. You can sort by the date the tickets are created so you can easily find the ones you want to delete. The other option would be to use the API.

If you want to delete all the information but keep the ticket comments, you'd need to use the API to pull the ticket comments out, or do a full XML export. With the export, you'll get all the ticket data, including comments. From there you can extract the comments and any other data you might want to keep, and then delete everything else.

    Hope that helps!

I created a view for closed tickets. That lists what I need but there's no check boxes to select and delete more than one at a time. Also the only condition in the view is status=closed. I click the requested column to sort by date I should be seeing tickets from 2014 on but am only seeing one from 2015 and the rest are 2017 on. Doesn't make any sense. Thanks

    Hey Eric,

The only way to bulk delete closed ticked is via the API; in the interface you would unfortunately have to do it one at a time. If you have developer resources, on of my colleagues suggested that they could build a nav bar app that would use the bulk delete tickets API endpoint to bulk delete closed tickets via the UI.

As for the tickets missing from the view, the most likely culprit is that they have been archived, which happens automatically 120 days after the ticket has been closed. This helps to maintain efficient functioning of views. Here's more information about ticket archiving.

I have a question about the API: When it asks for {ids} it's asking for individual ticket numbers? Is it possible instead to specify a date range? There is nothing in the API documentation that answers my question.

    Hello Katie,

So if this is for the api/v2/tickets/show_many that will only take IDs but if you want to use a date-range, that’d be the search endpoint instead. Hope this gives a little bit more clarity on your question and let us know if there is anything else we can assist with.

    Best regards,
