Additional Bulk Article - "Publish in section"

Not Planned

Posted Mar 21, 2019

I see the topic posted,

Bulk Changes to Guide Sections and Articles

https://support.zendesk.com/hc/en-us/community/posts/115008612768-Bulk-Changes-to-Guide-Sections-and-Articles?input_string=Additional%20Bulk%20Article%20-%20%22Publish%20in%20section

However, it still falls short I think what needs to be added for Bulk updates, mainly moving bulk articles from one Section to another.

There should be an additional section/tab/menu/etc. for moving from one section to another if possible.

Right now, you have to go into each individual Article and move it to the desired location.  With nearly 150 articles in total (and counting), this can be very cumbersome if a reorganization of the Sections or Categories needs to be made, but not the actual content of the Article.

Thank you for your consideration.

Thank you all for your feedback, I can clearly see how important this functionality is for all of you, and how it could improve your workflows. Unfortunately, up until now, it was very difficult from the technical perspective to make changes to everything related to the placement of articles, including a seemingly small enhancement of adding a bulk action for it.

The good news however is that we are diving deep into this area right now as we are starting to work on Article Multiplacement. I expect a good few improvements to be released throughout this and the next year.

You can always check our roadmap in this post. It's always up to date with our current plans.

I'm passing through the same situation, I have a hard mission to open more than 1.000 records to move.
I believe an enhancement will be great.

Even though I managed to manually move 250 articles one by one, I realized doing it manually can create mistakes: for example, I missed some of them in the Articles list, and had to check the list again from the beginning. Having a bulk action can reduce human errors.

Absolutely! I'm looking at relocating 150+ articles right now and already dread it.

Really need this! Manually moving so many at the moment and may have to again in future if we decide to split a section into 2. Please add this!

We are doing a reorganization of content since the number of products is growing.  To make these changes, all movement of articles between sections is manual one-at-a-time.  In addition, We have to take Product categories and make them Sections under an All Products (NEW) category.  it is not possible at this time to convert a CATEGORY to a SECTION.

These are much needed.

we are doing a major reorganisation of categories, sections and articles. Unable to move in bulk articles between sections is very painful, has to be done one by one. Zendesk hello?

Agree. I'm in the same situation as @... and @...

In addition, I want to add that a category was deleted by mistake. With it went all subsections and KB articles.  Luckily, the articles ended up in the Archive.  But, the sections needed to be rebulit in order for the articles to be restored to their previous location.

It would be great if there is an archive for any deletion in the Admin UI (where we create categories and sections) such as a trashcan where you can restore by a subsequent click to do so.

This mistake took time to undo by 1) recreating the category/sections, 2) restoring articles from the archive, 3) reclassifying each article to the correct category/section, 4) setting the correct permissions, and republishing the content.

It would be so much more helpful if a deletion was actually an archive (maybe just a visual delete) and there was an undo that can restore back to previous setting.  Eg: like a Mac trashcan where data can easily be restored.  This would be a valuable feature for any ZD customer.

Mistakes happen and anything ZD can do to make this easier for a customer would be very much appreciated.  This would be a high-on-the-list improvement in the product to ensure customer confidence!

I agree with all comments said--- a bulk move feature for articles would be insanely helpful as we build out our guide.

I think it is more common for users to build out articles and then figure out the organizational structure of the categories and sections--without a bulk move feature to assist, this process is painstakingly slow. Thank you!

Thanks for sharing your feedback, Will.

I have the same issue.  The knowledge base was originally created with a different idea of how to structure the articles to make it simple to find articles, but since the launch have determined that the structure does not work.  Unfortunately we have over 600 articles to manually move if we want to make it easier for everyone to find the right articles.

I have been working to get my team to start using Guide for article management and just caught that bulk movements didn't account for choosing a new place in the hierarchy.  This seems off considering we can bulk update article permissions like who can manage or see the article.

I also want to add to a comment that @... said above: "it is not possible at this time to convert a CATEGORY to a SECTION"

With flexible hierarchies and the ability to nest sections within sections on Guide Enterprise, the concept of Categories and Sections seems like it might be better to reconsider as just sections with nested sections in general.  It would be nice to have the option to just create sections and go from there without having to worry about categories at all since they don't seem to add any different value at this point other than one being a top level hierarchy item.  For non-Enterprise users, Zendesk could limit how many layers deep the hierarchy could go for parity purposes as well.

I agree with you, Dan. It would make sense that everything is a section.  In addtion, it would be helpful to not be limited to 20 sections within any section.

Any update on this?

It took them 7 years and 13 pages of comments to put multi-category/multi-section articles on their list of to-dos, so I wouldn't hold your breath on this one. Another super annoying thing that should've been implemented when they were coding stuff out.

I honestly cannot believe that zendesk doesn't realize that bulk-changing the categories and sections articles live in is maybe the #1 reason to even have bulk-change functionality.  If it takes them "7 years and 13 pages of comments" to finally listen to their customers as stated in the previous comment, my organization will be long gone and using a diff Help Desk provider.....

I'd like to see this as well. Was very surprised this is not supported, but other bulk updates are.

+++ on the bulk move topic. This sould be a basic feature of the guide Admin.

having to move each article manually is a waste of time. I hope we get an update or EAP on this soon.

As we get further into the knowledge base and realize we need to adjust the folder structure, it does get annoying to not be able to move bulk articles from one folder the next. I have a couple hundred articles and to do each on separate is super annoying and a huge time waster.

Chiming in with the same issue. We are reorganizing our content and have to review 700+ articles to place in new sections. Doing this one by one will take a LONG time. I'm disappointed I can't do this by selecting titles from a list. It's way too many clicks. Carpal tunnel, anyone?

4

any news here it's crazy this is not possible since over 2 years and not even on the roadmap or a beta version (EAP)?

Any update on this one ?

Can I upload articles from Excel file - have got 100 to transfer ?

What are the plans to implement this? I have a massive project I am scoping and it would save me a ton of money to have this feature vs paying someone to move all the articles one by one.

Hi Nathan Cassella
Unfortunately, we don't have plans for the immediate future to add this bulk action to Guide.

Hi everybody,

I'm planning to implement bulk actions for articles in my new Zendesk app: Help Center Manager. It's still work in progress but please register your interest to get notified of its release.

How is this not a thing? I think you might need to take a page from monday.com's book. They just did a huge release of "all the little things" that customers are asking for to make their product run smoother. Not a single large enhancement just a ton of little "make your day better" enhancements. It was fantastic. Now that they knocked that off they can concentrate on some bigger features. Content Blocks is nice but please stop spending your time there until you've handled some of the basics.

It's beyond bad this feature doesn't exist. I imported and cleaned up 60 articles that are going thru "review" (don't get me started on the poor review process). After they're approved, we need to pay someone to manually move these from the temporary staging area to where these will live, one by one.

Later this year, we plan on a user study to find out how our customers want things organized. I expect a massive reorg out of that. And we'll pay someone to move the articles, one by one. Instead of creating new content that meets my customers' and my teams' needs.

How is this not even on the roadmap?

Adding a comment to show my support for this feature.
It would be extremely helpful to be able to edit the content structure in a sitemap view and being able to move a whole branch of articles from one tree to another. Currently I am creating sitemaps in miro, and updating it separately whenever we move articles or add articles, plus updating a separate spreadsheet to get a view of all the labels we have assigned to the articles.
The additional behind-the-scenes content management work + The time taken to move articles individually = time taken away from creating meaningful and helpful content for our customers.

This is a much needed feature. Adding my support.
