Article Settings and Revisions

Posted Feb 08, 2024

I found out this week that there is not a way to allow users in our Knowledge Base to either see the article settings of an article (after it is published) or revisions without either granting them publishing permissions or updating their role. In our use case, it would be great for us to be able to use a user segment to grant access to both revisions and article settings. We have content owners from each of our departments and locations and as admins we have to refer to them to review the information in their articles, but overall our department will publish all changes. I was told we can allow article settings only on a role basis, but due to our various departments, we wouldn't want to grant all members of those teams in that role. And for revisions, we would love that we can give access to revisions without the ability to publish. That takes more work from our team in auditing to ensure nothing was published accidentally without us being aware.

+1 We just opened a ticket for this last week as well. Editing article settings should be allowed when users have editor permissions. This type of basic edit should not require publisher access.

I agree. It would save our team so much time to allow those that review the resources this ability. We are a team of 2 and I review most of our knowledge base so it would be beneficial for us.

Any update on this? It seems like with the new option to add up to 10 user segments to the visibility settings it makes more sense than ever to allow someone with editor permissions to be able to edit article settings.

My org has also encountered the issue of article settings not being accessible to users who previously had access. This has created a significant disruption as many of our internal processes were built around the concept of users being capable of modifying article settings without necessarily having the ability to publish an article.

Ideally, we would like to have user permissions separated more granularly to allow us to define who should be able to do precisely what in relation to an article.

YASSS!!!!! This is a huge change from how it acted prior to the UI change. Additionally, article verification was moved out of article settings, and owners are getting emails to verify yet can't verify as this has ALSO been changed for publishers only. This is silly if only publishers have the ability to verify articles. This needs to be changed ASAP as this moves trivial tasks to more senior associates in order for articles to be up to date.
