Share dashboards without notification
Completed
Posted Nov 30, 2020
We have a need to release several dashboards to a large number of people (200+) in Explore, but we don't want to notify them, as they will get several notifications and this will appear very spam-like.
In Insights, you just had the ability to create a dashboard and share it without a notification.
We need to be able to use the Share option, but have a checkbox to not send the email notification (like Google Docs sharing feature).

+1 Having to share to be able to save can be a hinderance when you don't want to announce to the team your in progress dashboard.

Hi @...,
thanks for sharing your feedback about sharing dashboards.
For enterprise customers only, it is possible to create a shareable link that can be shared without anyone getting notified via email.
You can find more details about how to use it here
Thanks,
Walter

Hi,
Thanks Walter.
Shareable links doesn't meet our use case unfortunately.
We need staff to be able to log into Explore and see the dashboards they have access to (like Insights).

+1 for me. My entire team should have access to our dashboard but they do not want or need email updates every time I publish changes. I am also the only person that requires a scheduled delivery email.
As the manager of our dashboard, I am now forced to decide to make the dashboard private, or spam my team.

Agreed, this makes sharing a report with a group a nightmare, as every single person in the group will get an email, that you cannot even customize to make it clear why you are sharing it with them. I don't want to send 50 people a canned email every time I make a new dashboard, I just want them to have access to a resource, should they need it. Also, the email has a link "Here are some helpful items for your journey.", the "helpful items" link, literally just drops the person on support.zendesk.com, not even anything Explore related. It's frustrating to have the only option be to send them a bunch of emails they don't need or want and that have bad links on top of that.

I need to be able to make dashboards available for folks to find when they need them without spamming my whole organization. The only option I can see right now is to make a whole bunch extra groups for different subsets of people in our current groups in order to at least limit the spam. I really hate that option.

This keeps getting me into trouble with my company too - really need a way to be able to say 'don't email an invite' please 🙂

+ 1 - We have defacto identical requirements:

If you use the beta dashboard builder, you now have the option to skip the email notification when sharing a dashboard. Clear the Send email notification checkbox to choose not to send an email. See Sharing a dashboard for details. (This new checkbox is available only in the beta dashboard builder, not the classic dashboard builder.)

Erin O'Callaghan The beta for Dashboards is closed and has not been accepting any new applicants since October of last year. Any idea when others will be able to access and use these features?

Hello CJ Johnson,
the builder beta is accessible to any customer having Explore Enterprise.
May you please share where you found the information that no applicants are no longer accepted?
Thanks,
Walter

Walter Bellante In the article about this EAP, see the screenshot below. Additionally, it seems it was meant to read "Enterprise Suite" plans, not Explore Enterprise, as I spent months asking about this and being told it was already available to me, until it was figured out it was only *full Enterprise Suite* accounts that are eligible for this. I'm surprised to see the text still hasn't been updated to reflect this:

Hi CJ Johnson,
Thanks for sharing more context. I appreciate it.
As per the screenshot you've shared, the new dashboard builder is available exclusively to Explore Enterprise plans. This includes anyone who has an Enterprise Suite plan and who had activated an Enterprise plan for Explore prior to bundles. Customers on the Explore Legacy plan like yourself can't access the new builder. I am sorry if this caused confusion in the past.
Thanks,
Walter
