To help you manage your lead, contact, and deal related activities, Sell provides the ability to add and manage calendar appointments. For example, you can set up appointments for phone meetings with your contacts to discuss ongoing deals.
Appointments can be directly associated with leads, contacts, and deals, and you can send email invites for appointments.
You can use the calendar provided by Sell, or integrate Sell with external Google or Exchange calendars.
You create and manage appointments for yourself only. You cannot see the appointments of other Sell users (your colleagues). You can however see any of the appointments that your colleagues have created related to a deal that you have access to on the contact’s or the deal’s card.

Adding appointments
You can add appointments in a number of different ways in Sell.
To add an appointment in the calendar
- On the Sell sidebar, click Calendar (
).
- Click Add (+).
- Select Add Appointment, then click Add More Details.
- Enter details about the appointment.

Invite attendees by clicking Add Attendees. Enter and select the names of the leads, contacts, or companies you want to invite.
- Select Send invitations to meeting attendees and the selected attendees will receive an email invitation for the appointment. This is optional; you don’t have to send invites when you add attendees.

If you want to associate an existing deal with the appointment, click Add Deals and enter and select the name of the deal or deals you want to add.

Click Save or, if you’ve chosen to send invitations to the attendees, Save and Send Invites.
Your new appointment will be shown in the calendar on the date you selected and also on the lead, contact, or deal cards of the leads, contacts, and deals you added to the invite.
You can also create appointments directly from a lead, contact, or deal card. For example, if you want to set up an appointment with a new lead, you select that lead from your list and quickly create a new appointment.
To add an appointment via the Leads, Contacts, and Deals pages
- On the Sell sidebar, click Leads, Contacts, or Deals, then click a lead, contact, or deal.
- In the Upcoming Appointments panel, click Add Appointment (+).

As you’re creating an appointment from an existing lead, contact, or deal, the attendee(s) are automatically added to the appointment. However, if you create an appointment from a deal card, the deal will also be automatically added to the appointment. Enter the additional appointment details.

Select the checkbox for Send invitations to meeting attendees and if you want the attendees to receive an email invitation for the appointment. This is optional; you don’t have to send invites to the attendees.
- Click Save or, if you’ve chosen to send invitations to the attendees, Save and Send Invites.
Your new appointment is shown in the Upcoming Appointments panel and also on the Calendar page.
If you’ve chosen to send invitations to the attendees, they will receive an email message that allows them to accept, decline, or mark the invite as maybe.
Their responses will be displayed on the appointment in Sell, and those who have accepted the appointment will be indicated with a checkmark.
Updating appointments
You can easily update the appointment to, for example, change the date or add or remove attendees.
To update an appointment
- Open the appointment from the Calendar page or from a Leads, Contacts, or Deals card.
- Change the details as needed (for example, changing the time or date, adding and removing attendees, or associating a deal with the appointment).
- (Optional) If you want all the attendees to receive an email message when you update the appointment, select the checkbox for Send meeting updates to attendees.
- Click Update to save the updated appointment.
Deleting appointments
You can easily delete an appointment if needed.
To delete an appointment
- Open the appointment from the Calendar page or from the Leads, Contacts, or Deals card.
- Click Delete Appointment. You’re prompted to confirm that you want to delete the appointment. The appointment is immediately removed from your Sell calendar.
If you’ve selected Send meeting updates to attendees, the attendees will receive a cancellation email message.
Notifying attendees that you’re running late
As a convenience to you, the appointment organizer, and a courtesy to your attendees, you can quickly notify them if you are going to be late for the appointment.
To notify the attendees that you are running late
- Open the appointment from the Calendar page or from the Leads, Contacts, or Deals card.
- Click Running late.
- Select the duration and the attendees will be immediately notified via email message.

It is not possible to add custom fields to the appointment details at this time. Any additional information can be included in the Description section when creating an appointment. Please feel free to post this feedback in the Sell Community Feedback section for our Product Managers to see and other Sell users to upvote your suggestion!

I have had to sign up as a new user because I missed the time when I could activate a full subscription following my trial period.
However in this new persona when I make an appointment it doesn't ask me if I want to use the location of the contact in the Web version or the mobile, this was a massive selling point for me.
I'm not sure if I need to enable anything in the settings, I don't think I did for the previous account I had.

Is it possible to provide a web form for a prospect to request an appointment? We don't have exchange 365 so cannot use calendly.

At this time the only form that Zendesk offers is a Lead capture form, which cannot be used to schedule appointments. Building an appointments form out via the Sell API also isn't an option, because there's no appointments endpoint that can be used to POST data.
If you integrate Google Calendar, you could possibly find a way to push an appointment to your calendar, outside of Zendesk, and it would sync automatically to Sell. Additionally, you may be able to accomplish your goal using Zapier. Lastly, I'd recommend checking out alternatives in our Marketplace.

When we send/receive a calendar invite from another Zendesk user we will get an email notification and hit accept but it will not add the appointment to our Zendesk calendars. It will appear on our Exchange calendar, is there a setting that needs to be changed?

could you write more what is your default calendar in Zendesk Sell? You can check your default calendar in Settings> Integrations> Calendar
You can set up Microsoft Exchange Calendar as the default calendar and you should see all Microsoft appointments in Zendesk Sell calendar.
