After you share a dashboard, you can notify users of updates by automatically emailing the latest version on a schedule you configure. By default, you can share dashboards with other agents and admins. In this article, you'll learn to share dashboards with other agents, admins, and groups. If you're using Explore Enterprise, you can also schedule dashboards to end users.
This article contains the following topics:
Scheduling a dashboard delivery
After you open a dashboard, you can schedule a delivery to one or more groups.
To schedule a dashboard delivery
- In an Explore dashboard that you have previously shared, copy the URL of the dashboard from your browser address bar (you'll need it later), then click Schedule.
Note: The dashboard must be in edit mode. If the dashboard is open in preview mode, click Schedule instead.
- On the Scheduled deliveries page, you'll see any delivery schedules you previously configured. Click New schedule.
Tip: If you want to see scheduled dashboard deliveries from all Explore users, you must have admin permissions. For details, see Reviewing all scheduled deliveries in this article.
- On the Schedule delivery page, configure the following options:
- Scheduled: Use the drop-down lists to configure the time and recurrence of each delivery.
- Subject: Type the email subject and the message. The text in {{brackets}} will automatically be replaced with the dashboard name.
- Message: Type the message that users will receive with the report. The text in {{brackets}} will automatically be replaced with the dashboard name.
If you want users to access the dashboard in Explore, ensure that you paste the URL to your dashboard in the message body as this is not automatically generated. If you don't do this, then users will receive only a copy of the dashboard in the formats you specify in the Includes section.
Tip: If the URL to the dashboard is very long, consider using a URL shortener like Bitly to reduce its length to make your message easier to read. - Include: Select one or more delivery formats. Choose from:
- Image: Sends the report as an image file in .png format.
- PDF: Sends the report as a PDF file.
- Excel: Sends the report as an Excel spreadsheet. The file is compressed as a .zip file.
- CSV: Sends the report as a comma-separated values file. The file is compressed as a .zip file.
- When you are finished, click Select recipients.
- On the next page, choose the groups or users to send the dashboard to. You can begin typing a group or user name in the search box, and then select it once it's displayed in the list.
If you don't see any groups or users as you start typing, ensure you are an Explore admin with permission to edit the dashboard.
Tip: If you're using Explore Enterprise and want to schedule dashboard deliveries to end users, you must first enable this for each user by adding the explore tag to their user profile. For details, see Sharing dashboards. - Once you are finished, click Schedule.
The schedule you configured is displayed on the Scheduled deliveries page.
Reviewing all scheduled deliveries
From the Explore admin menu, you can review and delete scheduled deliveries. If you want to create new scheduled deliveries, or edit an existing schedule, see Scheduling a dashboard delivery.
- Open the Admin menu (
) on the left panel, then select Dashboard email delivery (
). A list of all scheduled dashboard deliveries is displayed.
- You can select any schedule to view further information about it. Additionally, you can select a schedule and then click Delete to remove it.
Deleting a scheduled dashboard delivery
You can delete a delivery schedule you previously configured from the Scheduled delivery page.
- In an Explore dashboard that you have previously shared, click Deliver.
Note: The dashboard must be in edit mode. If the dashboard is open in preview mode, click Schedule instead.
- On the Scheduled deliveries page, you'll see any previously configured delivery schedules. Click the menu to the right of a schedule and then click Delete.
The schedule is deleted and users will no longer receive emails.

The whole export feature is very incomplete at this point. Excel delivery in a zip only, no export of the complete dashboard but individual tabs only. No option to name the exported PDF prior to the export. Images inserted on tabs are ignored, custom dashboard widths have to be re-entered on every export, etc.
I started to like the Explore features but going beyond the Zendesk realm seems to be no priority at all.
It is ridiculous to offer different scheduled report file types at all if they are anyway zipped on delivery. All I want is a clean .csv I can push to automated workflow. There is zero value add in dashboard zipping anyway, kindly remove it and only bring back once it can be selected as an option.
Hi, I wanted to update everyone on this topic who's asked about sharing dashboards to people who don't have access to a Zendesk account. We will shortly be introducing an Early Access Program (EAP) that will enable you to do this. For more information, see https://support.zendesk.com/hc/en-us/articles/360036743214
We have reports with multiple tabs that we want to email each day as a pdf. The problem is that the pdf only shows information from one of the tabs. Is there a way to show all of the pages on the pdf or do I need to create separate reports and email each of them, which is not a good option. I could do this in GoodData.
Hey Virginia -
That is not expected behavior; your PDF should include all of the tabs. Are you still seeing this issue? If so, it sounds like we should create a ticket for you as this may be a bug.
Hi!
How do you go about to save the filtering in a dashboard so its in the pdf that's being emailed out?
I have 3 products and each owner of those products only wants to have a pdf with their data each month. So.. how do I save it? The pdf they get is without filtering per product and it doesn't give them any useful data at all.
Hey LAgent,
You could create a bookmark to store your filter selections on your dashboard. More information in the following article: Adding interactive dashboard widgets
Let me know if you have any other questions.
Cheers!
Ditto to the complaints about not being able to send reports to non-Agent accounts. This is incredibly frustrating that we have to pay for agent licenses for people if we simply want them to receive a report.
Delivering Dashboard to Light Agents is possible now, so FAQ should be modify.
Thanks for sharing Tobias!
I believe this feature is still in Early Access which is why this note is here.
Not all users will have access to light-agent dashboard delivery so this article will most likely be updated when the feature is in General Availability.
Cheers!
Hi, currently with the GoodData Insights reporting tool, I'm able to schedule the delivery of individual tabs on a dashboard to our customers externally of Zendesk. Why has this option been removed from an 'improved' product? I was advised from Zendesk Support that I could export the tab, which I understand, but...
This really isn't very helpful, because:
A) A fully automated task now becomes manual and B) The other tabs on the dashboard are visible when exporting a tab.
Are there any plans to bring Explore in-line with its predecessor?
Hello David Edwards,
Currently, this feature request is in open EAP for Explore. I've shared a link below that goes into details on the features and how to signup for the EAP. Let me know if there is anything else I can help with and if you choose to participate in the EAP, thanks for helping us make Explore better!
Announcing sharing of Explore dashboards outside of Zendesk EAP
Best regards.
Hi Devan,
Will this include the ability to deliver an individual Tab from a dashboard?
Thanks
David
Hi David Edwards
Explore can't currently deliver individual tabs from a dashboard. Can I suggest you add this request to our feedback forum at https://support.zendesk.com/hc/en-us/community/topics/360001200913 ? This will ensure that it's considered for future releases. Thanks!
Hello,
in Insight I have option to schedule dashboard with current active filter. In one dashboard I can schedule sending reports to particular Agent.
In Explore I see filters but I don't have possibility to send reports for one Agnet without showing results of all Agents.
Do I have to create individual dashboard for each Agent?
Hello Paulina Jankowiak,
You would have to create an individual dashboard for each agent. I know this can be cumbersome, so I would recommend posting your feedback and experience with Explore in our product feedback forum. That way, our developers can consider making this update for future patch releases.
Best regards.
Is there any way to schedule a dashboard to be sent the last day of each month? Right now, the only option I see is that you have to specify the exact day
Hi Ketan Tailor, you're right, that's not currently possible though I think it's a great idea!
Would you consider posting this to our Explore feedback forum at https://support.zendesk.com/hc/en-us/community/topics/360001200913 ?
This way, it will be visible to the engineering teams and others can vote on it. Thanks!
Rob Stack - Sure, I just posted it - https://support.zendesk.com/hc/en-us/community/posts/360046844214-Emailing-Dashboards-on-the-last-day-of-the-month
Hi,
We want to create a schedule where we can sent the report on monday- friday.
It this possibe? We can only select Daily: then it's also sent on saturday/sunday.
Or do we need to create a new schedule for every day?
Thank you
Hi Kristel Kos,
Thanks for reaching out!
I will be sure to bring this up with our Product Team to see if we can improve this functionality to exclude certain days of the week. You are correct that a workaround would be to create a weekly schedule each day, Monday through Friday.
You can go vote on this feedback "Scheduled Delivery of Explore Dashboards" on the Explore Feedback page!
When I first set up scheduled dashboard exports they sent a link to the dashboard in the email. Now it is sending an image attachment instead and I don't see the option to send the link. How can I change back to sending the link?
Hi Sarah, this doesn't sound right so I've created a ticket from your question. Someone will be in touch as soon as they can. Thanks!
I've been experiencing the same issue as Sarah, I can no longer see the button to 'view dashboard' in scheduled dashboard exports. Any ideas on how to include the link in scheduled exports again?
All my scheduled Dashboards have recently stopped delivering. I have tried deleting the schedule and staring over but still no luck. Is there anyway I can fix this or is there any workaround?
Thanks.
I have the same issue as Sarah and Natalija: No more link in the scheduled email. Furthermore, the attached picture is cutting off important elements of the report, and I don't see an option to adjust the frame (e.g., send a picture in landscape instead of portrait format).
The dashboard links in the scheduled emails have disappeared for us as well. Is there a link placeholder we can add to the message template to re-enable this?
Hi everyone who is having the scheduled emails problem. I'm investigating this. In the meantime, you can manually add a link to the dashboard in the "Message" section of the scheduling settings.
Is there a ticket to follow up on the scheduled emails issue with the missing "View Dashboard" button? I've added a link to our message, but it's a long link!
Hi everyone. I have followed up about this and here's the conclusion of the ticket:
"This update was recently released to allow for future functionality of scheduling dashboard deliveries for end users. Since end users will not have access to view the dashboard within Explore, the reference to view the dashboard and link was removed.
If you'd still like to include the dashboard link for scheduled deliveries to agents, you can manually copy and paste the dashboard link in the message box"
I understand that isn't ideal for everyone and do encourage you to give feedback in our forum - https://support.zendesk.com/hc/en-us/community/topics/360001200913
As the link to the dashboard is long, you could consider using a link shortening service like Bitly to help. I've updated this article to show the new behavior.
