If you have created a custom role, you can assign the role (and its permissions) to one or more users. It can be helpful to use roles if you often set up new users, particularly if the users need the same type of access to records. A user can only be assigned to one role.
You need admin rights to work with users.

Make sure that you have advanced permissions enabled and have set up a role before you try to assign a user to a role.

Assigning an existing user to a role
You can assign a role to anyone in your user hierarchy, except the topmost manager in your hierarchy.
- Click the Settings icon (), then select Manage > Users.
- Open the User list tab.
- Click the name of the user that you want to assign to a role.
Alternatively, you can select your user from the User hierarchy tab, and click the pencil icon to edit.
- In Edit user > Permissions > Role, choose a role from the drop down menu that you want to apply to this user.
Notice that all permissions are now hidden for the user, because they inherit the permissions that you have already defined for the role.
- Click Save to apply the role to the user.
- In User management > User list, you'll see the new role assigned to the user you edited.
Changing or deleting a user's role
You can change or remove the role allocated to a user in your hierarchy. If you want to delete a role, you must use these steps to first remove the role from all users.
- Click the Settings icon (), then go to Manage > Users.
- Open the User list tab.
- Click the name of the user that you want to assign to a role.
Alternatively, you can select your user from the User hierarchy tab, and click the pencil icon to edit.
- In Edit user > Permissions > Role, you will see that a role is already allocated to the user.
- If you want to change the role, choose the new role that you want to apply to this user from the Role drop down menu.
- If you do not want to assign a role to this user, click None.
You'll notice that Configure permissions is now visible, so you can define individual permissions for this user.
- Click Save.
