In Sell, you can create and use smart lists in many different constructions to best suit your workflow and reporting requirements. Smart lists are helpful for staying on top of your communication, organizing your workload, and for gaining insight into different aspects of your workflow. For managers, smart lists are also helpful for gaining a total overview of the work and workflow of their team.

Smart list fields

Use this reference table to better understand the choice of fields you can add to your smart lists, and how to combine certain fields for specific outcomes (such as reporting, cleaning up sales pipelines, or taking bulk actions).

Admins can add and customize fields so they are more relevant for the workflow of the sales reps and the information requirements of the company. For example adding a customized field for Deal Score under (Deal property) would allow sales reps to enter the numerical value assigned to a deal to reflect the potential for closing the deal and to give insight sales predictions for the team. Other examples for customizing different types of fields might include: Deal Type, Opted Out (of email sequence), Products, Source, YouTube, Bandcamp, Instagram, Mobile Type (Android/iPhone), Email Effectiveness.

The smart fields reference table in this article lists and explains all of the fields that you can include when creating a smart list for contacts, leads, and deals - including the property type of the field (in parentheses).

Name of field Applies to Description
Actionable Leads, Contacts, Deals (Lead, Contact, or Deal property) The number of overdue tasks or unread emails associated with that lead, contact, or deal.
Added On Leads, Contacts, Deals (Lead, Contact, or Deal property) Date when an object such as a lead, contact, or deal was created.
Billing City Contacts (Contact property) The city in the billing address of the person or company contact.
Billing Country Contacts (Contact property) The country in the billing address of the person or company contact.
Billing State Contacts (Contact property) The state, county, province, or region in the billing address of the person or company contact.
Billing Street Contacts (Contact property) The street name and number in the billing address of the person or company contact.
Billing Zip Code Contacts (Contact property) The zip or area code in the billing address of the person or company contact.
City Leads, Contacts (Lead or Contact property) The city where the person or company contact is based.
Close Date Deals (Deal property) The date when a deal is moved to one of the closed stages.
Collaborators Leads, Contacts, Deals (Lead, Contact, or Deal property) The people collaborating on the deal.
Company Leads, Contacts, Deals (Lead, Contact, or Deal property) The name of the company where a person contact is employed or the name of the company for a company contact.
Company Address Leads (Lead property) The street or postal address for the company.
Company City Leads (Lead property) The city where the company is based.
Company Country Leads (Lead property) The country where the company is based.
Company Description Leads (Lead property) A free text field to describe the company (for example, size, focus, industry)
Company Email Leads (Lead property) The email address of the company contact.
Company Facebook Leads (Lead property) The Facebook URL for the company.
Company LinkedIn Leads (Lead property) The LinkedIn URL for the company.
Company Phone Leads (Lead property) The phone number of the company contact.
Company Region Leads (Lead property) The area of the company (for example, EMEA, APAC, AMER).
Company Twitter Leads (Lead property) The X (formerly Twitter) URL for the company.
Company Website Leads (Lead property) The website URL of the company.
Company Zip Leads (Lead property) The area code or zip code for the company's street or postal address.
Completed Sequences Leads, Contacts (Communication) The sequences of actions that have been completed in engaging a contact, or prospect
Contact Deals (Communication) Person or Company (for example accounts).
Country Leads, Contacts (Lead or Contact property) The country where the person or company contact is based.
Currency Deals (Deal property) The currency the deal is being conducted in.
Current MRR Contacts (Contact property) The current monthly recurring revenue or subscription generated.
Customer Status Contacts (Contact property) The state of a customer relating to a deal. The states include: Current customer (the deal associated with the customer has been won), Past customer (a previous customer or one you've not worked with for a while), Non customer (no deals are associated with the contact).
Days Awaiting My Response Leads, Contacts, Deals (Communication) The number of days that a person or company contact, or a lead has been waiting for you to reply to their last email, text, or phone call.
Days I'm Awaiting Lead/Contact Response Leads, Contacts, Deals (Communication) The number of days that you've been waiting for a person or company contact, or lead to reply to the last email, text, or phone call that you sent them.
Days Since Last Communication Leads, Contacts, Deals (Communication) The number of days that have passed since either you, the person or company contact, or lead exchanged any communication (for example an email, a text, or a phone call).
Description Leads, Contacts (Lead or Contact property) A free text field to describe the object (a lead, contact, or deal).
Email address Leads, Contacts (Lead or Contact property) The email address of a person or company contact.
Estimated Close Date Deals (Deal property) The date that you expect the deal to be closed (you can choose for example, This Month or This Quarter).
Facebook Leads, Contacts (Lead or Contact property) The URL of the Facebook account of a person or company contact.
Fax number Leads, Contacts (Lead or Contact property) The fax number of a person or company contact.
Hot Deals (Deal property) A deal marked as Hot is an important deal.
Import ID Leads, Contacts, Deals (Lead, Contact, or Deal property) Used with the import feature when importing leads, contacts, and deals (each import has its own ID).
Industry Leads, Contacts (Lead or Contact property) The industry that the person contact is working in or the company contact is associated with (for example, transport, IT, environmental research, green energy).
Last Activity Date Leads, Contacts, Deals (Lead, Contact, or Deal property) The last date that any of these actions occurred:
  • A task was completed
  • A note was added
  • A call was logged
  • An email was sent
  • A text message was sent
  • A visit was logged
  • A note, call, or email was added to an employee (of an organization)
Note: This field doesn't update when you create tasks or create, edit, or tag objects.
Last Stage Change Date Deals (Deal property) The date that the deal was moved to its current stage in the pipeline.
Last Visit Date Leads, Contacts, Deals (Lead, Contact, or Deal property) The date the lead, prospect, or contact was last visited by a sales rep.
Last Visit Owner Leads, Contacts, Deals (Lead, Contact, or Deal property) The sales rep that logged the last visit to a contact, prospect, or lead.
Last Visit Outcome Leads, Contacts, Deals (Lead, Contact, or Deal property) The outcome that was logged from the Visit Outcome menu by the sales rep from their last visit.
Last Visit Summary Leads, Contacts, Deals (Lead, Contact, or Deal property) The notes that the sales rep added when they logged their last visit to a lead, prospect, or contact.
LinkedIn Leads, Contacts (Lead or Contact property) The URL of the LinkedIn account of a person or company contact.
Loss Reason Deals (Deal property) The reason why the deal was not won.
My Calls Without Lead/Contact Response Leads, Contacts, Deals (Communication) The number of phone calls you've made to a lead or contact without any response.
My Emails Without Lead/Contact Response Leads, Contacts, Deals (Communication) The number of emails you've sent to a lead or contact without any response.
My Last Incoming Call Leads, Contacts, Deals (Communication) The date of the last phone call you received from the contact or lead.
My Last Incoming Email Leads, Contacts, Deals (Communication) The date of the last email you received from the contact or lead.
My Last Incoming Text Leads, Contacts, Deals (Communication) The date of the last text you received from the contact or lead.
My Last Outgoing Call Leads, Contacts, Deals (Communication) The date of the last phone call you sent to the contact or lead.
My Last Outgoing Email Leads, Contacts, Deals (Communication) The date of the last email you sent to the contact or lead.
My Last Outgoing Text Leads, Contacts, Deals (Communication) The date of the last text you sent to the contact or lead.
My Texts Without Lead/Contact Response Leads, Contacts, Deals (Communication) The number of texts you've sent to a lead or contact without any response.
Name Leads, Contacts (Lead or Contact property) The name of the person or company contact.
Next Email Leads, Contacts (Lead or Contact property) The date when the next email in a sequence will be sent.
Next Task Leads, Contacts, Deals (Lead, Contact, or Deal property) Information about the next due task in a sequence of engagement events (such as sending an email), including the type of task, when it's due, and who it's assigned to.
Ongoing Sequences Leads, Contacts (Communication) Sequences of tasks (such as sending emails) that have started but haven’t finished yet.
Ownership Leads, Contacts, Deals (Lead, Contact, or Deal property) The person who is responsible for the contact, lead, or deal.
Parent Company Contacts (Contact property) The parent company of a person or company contact.
Person Contacts (Contact property) The name of the contact (who is a person, not a company).
Phone number Leads, Contacts (Lead or Contact property) The phone number of the person or company contact.
Pipeline Stage Deals (Deal property) The current stage in the deal process.
Primary Contact City Deals (Deal property) The city in the address of the person or company contact of the deal.
Primary Contact Country Deals (Deal property) The country in the address of the person or company contact of the deal.
Primary Contact State Deals (Deal property) The state, county, province, or region in the address of the person or company contact of the deal.
Primary Contact Street Deals (Deal property) The street address of the person or company contact of the deal.
Primary Contact Zip Code Deals (Deal property) The area code or zip code of the person or company contact of the deal.
Prospect Status Contacts (Contact property) The state of a prospect relating to a deal, statuses include: Current prospect (the prospect is associated with the deal), Lost prospect (the deal relating to the prospect was changed or lost), or Non prospect (there are no deals associated with the contact).
Renewal Date Deals (Deal property) The date the next MRR or subscription will begin.
Shipping City Contacts (Contact property) The city of a person or company contact for items to be sent to.
Shipping Country Contacts (Contact property) The country of a person or company contact for items to be sent to.
Shipping State Contacts (Contact property) The state, county, province, or region of a person or company contact for items to be sent to.
Shipping Street Contacts (Contact property) The street address of a person or company contact for items to be sent to.
Shipping Zip Code Contacts (Contact property) The zip or area code of a person or company contact. for items to be sent to.
Skype Leads, Contacts (Lead or Contact property) The Skype account of a person or company contact.
State Leads, Contacts (Lead or Contact property) The state, county, province, or region in the address of a person or company contact.
Status Leads, Deals (Lead or Deal property) Indicates what stage the deal is at in the sales pipeline.
Street Leads, Contacts (Lead or Contact property) The street address of a person or company contact.
Subscription end date Contacts (Contact property) The date the current subscription or MRR of a person or company ends.
Tags Leads, Contacts, Deals (Lead, Contact, or Deal property) You can add tags to contacts, leads, and deals.
Title Leads, Contacts (Lead or Contact property) For example, CEO, Manager, Sales rep, Receptionist.
Twitter Leads, Contacts (Lead or Contact property) The X (formerly Twitter) URL of a person or company contact.
Unqualified Reason Leads, Deals (Lead or Deal property) The reason why the deal is still unqualified.
Upcoming MRR Contacts (Contact property) The upcoming monthly recurring revenue or subscription that will be generated in the next billing period.
Value Deals (Deal property) The numerical value of the deal in a given currency.
Views of My Last Email Leads, Contacts, Deals (Communication) Number of times a contact or lead opened an email that you sent.
Website Leads, Contacts (Lead or Contact property) The URL of the website of a person or company contact.
Win Likelihood Deals (Deal property) The probability of the deal being won.
Zip Code Leads, Contacts (Lead or Contact property) The area code or zip code for the address of a person or company contact.
