Macros are a valuable tool that save agents time and help provide end users with consistent support. But knowing which macros to create isn't always straightforward. The macro suggestions feature makes it easier to determine which macros will be most useful for your agents and end users.
- Macro suggestions are suggestions made to admins about new macros that could be created based on repeated content from all agent replies in your account.
- Suggested macros are suggestions made to agents about which existing macro to apply to a ticket based on the content of that specific ticket.

Understanding macro suggestions for admins
The macro suggestions feature uses machine learning to scan the agent comments across all tickets in your account. This analysis identifies common replies that can be turned into useful macros for your agents.
If many agents repeat similar comments without using existing macros, you’ll receive suggestions to create new shared macros to help agents respond faster and more consistently in the future.
You can see a list of up to 10 macro suggestions in Admin Center. From the available suggestions, you can choose to create new macros that you can then publish for agents, or dismiss suggestions that seem irrelevant.
On the first day of each month, new macro suggestions are added to your account. These macro suggestions are based on the previous month's data.
Each week, existing macro suggestions are refreshed based on the previous week's data. This refresh affects the macro's suggested text as well as information about the number of repetitions, unique agents, and example tickets.
Criteria for macro suggestions
For the machine learning model to suggest a macro, your account must have received at least 150 tickets in the last 3 months. The model analyzes tickets from the email and webform channels in your account that meet the following criteria:
- Tickets must be from end users and written in English, French, German, Japanese, or Portuguese.
- Tickets must have public comments written by an agent.
- There are no existing macros similar to the one being suggested.
Any suggestion the model makes is always based on at least two comments from at least two different agents.
If a new suggestion is similar to an existing, unreviewed suggestion made within the last six months, the existing suggestion is updated with a new description, title, repetition, and agent count. If the existing suggestion is older than six months, a new suggestion is made, even if the previous one was rejected.
Most personally identifiable information (PII) is automatically masked in suggestions made by the machine learning model. If necessary, you can further edit the text of the macro when creating it.
Configuring access to macro suggestions (Enterprise only)
By default, only admins can see macro suggestions in Admin Center. If you’re on an Enterprise plan, you can edit a custom role and define whether that role has access to macro suggestions.
To configure access to macro suggestions
-
In Admin Center, click
People in the sidebar, then select Team > Roles.
- Hover over the custom role you want to edit.
- In the Macros permissions > Macro suggestion permissions
section, choose the level of access the custom role should have:
- No access
- Can view macro suggestions
-
Can view and edit macro suggestions
Creating a macro from a macro suggestion
In Admin Center, you can review the list of up to 10 suggested macros and decide which ones you want to create new macros for.
To create a macro from a macro suggestion
-
In Admin Center, click
Workspaces in the sidebar, then select Agent tools > Macros > Suggestions tab.
The list of suggestions includes the following columns:
- Name: The name of the macro suggestion.
- Repetition: The number of times a similar comment was repeated by agents across your account. This helps you understand the potential impact of a new macro—the higher the number, the more time that could be saved by the new macro.
- Agents: The number of unique agents who used a comment similar to the suggestion. This helps you understand how widely repeated the comment is among agents.
- Date created: The date the macro was suggested in your account.
- Click a suggestion name to open the Suggestion pane with more details.
The pane includes the following information:
- The number of similar agent replies over the last three weeks.
- Suggested groups that the macro should be made available to. The suggested groups are based on the group membership of the agents who made the similar comments that prompted the macro suggestion.
- Suggested text for the new macro’s comment. This text is based on similar comments repeated by agents. If you choose to create the macro, you can edit the text as needed afterward.
- The languages you should consider creating the macro in.
- Example tickets that include the agent replies the macro suggestion is based on. Click Based on these replies to see this information, then click Show more to open a full list of example tickets in a new tab in Support.
-
The date the macro was suggested in your account.
- Click Review suggestion. You're automatically redirected to the macro creation page.
- Adjust any details of the macro as necessary. For help with editing macros, see Creating macros for tickets.
- When you’re finished, click Create.
Dismissing a macro suggestion
Sometimes, the macro suggestions feature might suggest a macro you don’t want to create for whatever reason. You can remove it from the list of suggestions by dismissing it.
To dismiss a macro suggestion
- In Admin Center, click
Workspaces in the sidebar, then select Agent tools > Macros > Suggestions tab.
- Click a suggestion to open the Suggestion pane.
- Click Dismiss.
- In the list that appears, select the reason that best describes why you're
dismissing the macro. If you choose Another reason, you have the
opportunity to share additional details about your reason.
By giving feedback, you help to improve the model so that future suggestions are more precise.
- Click Submit. The macro suggestion no longer appears in the list.

Hi, interesting feature. When will it also become available for other languages? Like Dutch and German?

Hi! The post mentions that if many agents repeat similar comments, we'll see macro suggestions. And what is the criteria to determine that the comments are similar? Should the messages be almost identical or there should be some similar structure or some keywords. Thank you.

Ksenia Tsaregorodtseva Thank you for reaching out with your question. Macro suggestions are generated based on a mix of factors. While identical replies contribute, the system can also consider semantic similarity, meansing similar phrasing, structure, and keywords. This way, it captures both exact matches and underlying patterns for more effective suggestions.
Best regards,

We just added Advanced AI yesterday, so based on this I shouldn't see any suggestions until September 1st but I am seeing a lot of suggestions dating back to at least April 2023.

Hi Devin
Thank you for bringing up the topic. I'd be happy to provide some clarification on this matter.
Our Advanced AI system considers both recent and historical interactions to offer tailored suggestions. The suggestions you're seeing, including those from April 2023, stem from the AI's effort to comprehend your communication patterns comprehensively therefore you can also see suggestions dating to April 2023.
Best regards,

Hi,
Is there any timeframe for the macro suggestions to read messages in languages other than english, we are not currently an english based company and would be very helpful to have this feature in our most commonly used language

Hi Monica Antonucci
thank you for your feedback. We are going to provide support for more languages in Q1 2024. Which languages are you especially interested in?

Hello, I am using an advanced AI tool that has the macro suggestions feature enabled. Last week, I received suggestions and successfully used the tool to create several new macros. However, today when I logged into the admin panel, I noticed that the macro suggestions option is no longer available. I am wondering if this is a bug that needs to be addressed.

Hi all,
We're excited to share that we're currently enhancing our macro suggestions feature, with a specific focus on identifying and managing duplicated macros. Your experiences and insights are invaluable to us, and we would greatly appreciate your participation in this development process.
We're seeking examples of duplicated macros. This will help us refine our ML model and improve the feature's accuracy. If you've identified macros that seemed duplicated, we're interested in understanding why they were recognized as such and what factors influenced your decision to retain or delete certain macros.
To aid in this, we kindly ask for the following:
[Macro subpage]
Screenshots of 2 or more macros that were recognized as duplicates, indicating which one was deleted or archived and why.
or
[Macro suggestions subpage]
We understand that some suggestions may seem like duplicates of existing macros. If you've identified such suggestions, could you send us a print screen with both the suggestion and the existing macros?
Please note that your privacy is our utmost priority. To ensure this, we ask that you send this information directly to me at patrycja.walencik@zendesk.com rather than posting it publicly.
We're looking forward to your insights and thank you in advance for your valuable contribution to this feature development.
Best,
Pati

Hey Patrycja Walencik, as we are a Brand focusing on German, French, Dutch, Italian, Spanish & English speaking countries, the update to more languages is very important to us. Is there an updated timeframe for the macro suggestions in languages other than english? Thank you very much!

Hi,
is there a time-frame suggestion list we can check for which language will be coming available?
99% of our tickets are in Dutch and we are looking forward to having this feature available.
Kind regards,

Hi,
Is there an update on timeline for additional languages please?
Also, please could someone confirm that as “Tickets must be from end users”, tickets raised as child-tickets and actions taken on these would not form basis from which macro suggestions would be generated?
Thanks

Christine Diego
Macro suggestions for Admin supports new languages: French, German, Japanese, Portuguese, you can check this article for details. Side conversation are not supported, the requirements for suggestions eligibility is that ticket must be created by end user and replies are made by agents.

Hi Ben,
When it comes to you question: “Tickets must be from end users”, tickets raised as child-tickets and actions taken on these would not form basis from which macro suggestions would be generated?"
It is correct, child- tickets aren't included to generate macro suggestions
Could you bring more context when it comes to languages, which languages are you especially interested in to have?
Best,
Pati

Curious, are macro suggestions only available for instances where the AI add-on is purchased and enabled? We've recently upgraded to leverage AI functionality, but the 'suggested dates' are from earlier this year and last year. Thanks!

Kierra
Is there a way to mass dismiss the macro suggestions? There are many from April-June that I know we will not need due to systems changes. It would be useful if I could dismiss them en masse. Thank you!
0
Patrycja Walencik
Hi Cory Truesdell
Correct, macro suggestions are part of the Advanced AI add-on only. The reason you might see dates from the past is that the model operates on historical data as well, which can result in such distant dates appearing.

Patrycja Walencik
Hi Kierra
Unfortunately, there is currently no option to bulk dismiss macro suggestions. I understand this may be inconvenient, especially since many of the suggestions from April-June are no longer relevant due to system changes. However, it is incredibly valuable for us to receive feedback when you dismiss suggestions, as our model is continuously improved based on the feedback provided. Knowing why a suggestion is not fitting and how we can enhance it to better meet your expectations will greatly help us in refining the system. Thank you for your understanding and cooperation.

Hi, thanks for sharing. Are you planning to add more new languages? Specifically, my question is about the Polish language. This feature would be very useful. Thank you!

Hi Agnieszka Pacynko, thank you for your feedback - we have plans but I am not able to give any specific timeline for providing more languages yet. When will it happen for sure I will put the announcement here.
Have a great day
