You must be a Client Admin to perform any of the actions below.
If you see User Management in the left menu bar, that means you are a Client Admin. This article covers what a Client Admin can do in User Management. To understand our user roles, have a look at User roles explained.
A Client Admin can:
- Access all bots in your organization
- See users in your organization
- Create new users in your organization
- Remove existing users
- Change roles of users
- Assign bot access to users
Access all bots in your organization by default
All bots in your organization are accessible through the dropdown in the top right corner in the Dashboard.
See users in your organization
To get an overview of users in your organization, what roles they are and which bot access they have, follow the steps below:
- Login to Ultimate's Dashboard.
- In the left side menu, go to User Management.
- On the right, you'll see all the users you have in your organization and the bots they have access to.
- To find a specific user, search for the email in the search bar on the right.
Create new users in your organization
- In User Management, click + Create User.
- Fill in the information. All fields are mandatory.
*Password must have at least 10 characters - 1 uppercase character, 1 digit character, and 1 special character. We suggest generating a random 10-digit password for now and asking the user to log in and reset their password by following this article. - The user will receive an email, titled “Your Ultimate.ai account has been created”, informing them that an account has been created for them. They can reset their password and log in by following the Get Started button in the email.
Remove existing users
- In User Management, search for the email of the user you want to remove.
- Hover your cursor over that user, and click the trash can icon to remove the user.
Note - When you remove a user, actions completed by them will now say Unknown User in the change log, as they have been removed from the system. This means in the change log it will no longer say "Max Mustermann edited the dialogue reply of this intent" It will say "Unknown User edited the dialogue reply of this intent".
Change roles of users
- In User Management, search for the user you want to update.
- Hover your cursor over that user, and click the pencil icon.
- Select the new role you'd like to give in the dropdown menu under Role.
Assign bot access to users
- In User Management, search for the user you want to change roles of.
- Hover your cursor over that user, and click the pencil icon.
- Select the bot(s) you'd like to give access to in the dropdown menu under Bots. You can give access to more than one bot to the user.
- Note that Client Editor and Client Admin have access to all bots by default.
