Total Sum count the same (even when I sort results for Top 20 or All Results)

Posted Mar 28, 2023

Total Sum count is the same, even when I sort results for Top 20 or All Results.

I created a Report and wanted to sort only the Top 20 and I included Sum for Grand Totals Columns and Rows and Subtotals on Row.

However, the totals of those calculations do not change (if I sort for Top 20 or remove the Top 20 sort), which does not make sense at all. Therefore, I can not accurately trust the results of the Top 20 sort with the totals (as they do not add up, leaving me in a situation to explain why!)

I opened a ticket with Zendesk Support and received the following:

  • The behaviour experienced is working as expected.
  • Top/Bottom sorting will hide results in the reports if those don't match your requirements, however the results are still there in the report.
  • The Sum will take into accounts all the results, hidden or not, to show the total.
  • I understand the confusion and it is a valid point that you make

This is definitely a bug in my opinion.

Expectations: The sum should reflect the data that is displayed, period. The top/bottom manipulation in this case is expected to function as a filter for people that actually use reporting for business purposes.

Actual results: The sum shows the total amount, including data that is not displayed.

The Top/bottom attribute used to work for this, but that option was removed (post).

Being able to see the total is good, but it's only useful if you know the sum of what you are viewing.

This issue should be considered a bug and the feature request should be to add an option under the result manipulation for top/bottom to show the total for the metric data (see screenshot below).

Hi Matthew.
I understand your expectations differs from the actual outcome of the feature. I thank you for taking some time to report this to us. Your feedback helps us grow – thanks so much for sharing it with us.

I do have a work around for this. Instead of using top/bottom you can use a sort of value descending with a sql options limit set to 10. This will get you the top 10 largest values and the totals calculation will work properly.

+1 to this feedback! I would like the total SUM to be based on the top/button function we use (10, 100, 1000 etc). Otherwise, there is no meaning to use total SUM with the top/bottom function since the data is inaccurate.
