One of the recommended uses for labels is to “create article lists”. The problem is that labels impact search results, and if you're trying to use labels administratively, such as for creating article lists, then you need to be careful to use labels that are highly unlikely to ever be used as search terms.

For example, we have a set of pages on our Help Center that use some custom HTML (e.g., for callout boxes). I'm the only one of our content editors who's comfortable working directly with HTML (vs WYSIWYG), so I've been very careful to label these pages to make them easy to find, via a list + having the label easily visible in the article settings. Initially I used the label “custom_html”, but an end-user Help Center search for “custom” pulled up these pages, in addition to actual hits on the word “custom”. I wound up changing the label to “XCustomHTML” to resolve this.

Frankly, there needs to be a 3rd category of article labeling - tags, labels, and administrative-label.

I'm not sure if this is a help, but under all articles, you can filter by labels. It won't pull up a list of all labels, but if you say, type an a, it'll show a list of all labels starting with a. If you type the letter b, it'll show you a list of all labels starting with b, and so on. 

If you see a label in your "a" list that you'd rather do away with, maybe you could select that label, see which articles use that label, and go in and delete the label that way? It's been a couple of years since I used that function in Zendesk, but I saw your question and thought I'd have a go at it. Good luck!

It looks like this question has been asked a  few years ago now so I am hoping things might have changed. Is there a way to view my labels as a list so I can review / edit / remove ones which are not needed. 

 

I don't need to assign / remove from articles at this point I want to do a review of the list.

To verify if article labels are active and functioning, you can test via the search functionality on the knowledge base. Enter the label as a search query and see if the search results return the correct articles associated with that label.
 
If the labels do not appear to affect search or filtering, or if they are not functioning as expected, I would suggest doing the following:
 
  • Caching: The updates might not reflect immediately due to caching. Try clearing your cache and refreshing the page.
  • Propagation Delay: Some changes on web platforms can take time to propagate. Give it a little time and then check again.
  • System Glitches: Occasionally, systems may encounter errors. If the labels still aren't working after a waiting period, you may reach out to us for further investigation - Contacting Zendesk Customer Support
 
I'd like to note that labels don't show publicly but help organize content and refine search results within the help center. I hope this helps.

Do I need to do anything to make the labels active?  We added some today and are not seeing any instance of them working.

Hi there Vercilia. As of right now, it appears that the manually removing the labels you don't want from each article is one way to delete these labels.
 
My recommendation would be to try automate this process by using a spreadsheet populated with the ID information required to run the API endpoint DELETE /api/v2/help_center/articles/{article_id}/labels/{id}.json. In saying this, you will need to start by calling the following API endpoints: 
 
• List all articles and grab the articles ID: List Articles   
• Once you have the articles IDs, run the following API endpoint to associate each article with its labels IDs List Article Labels
 
Once you have a file in place that can be run through you should be able to pass the information to DELETE /api/v2/help_center/articles/{article_id}/labels/{id}.json. and automate this process using an API client (i.e Postman). I'd recommend working with a developer in case you are not familiar with scripting as we can not assist with performing this action. Hope this helps!

Has there been a change in the permissions on who can add labels to articles? We have some folks who could previously update article settings (including labels) who now have a very limited view of the article settings bar.
